Privacy policy

OurMeetingTime is a free tool for finding a time that works for a group. This page explains, in plain words, what information we collect, how we use it, and what you can do about it.

What we collect

  • Event details you enter: the event name, dates and times, time zone, meeting length, and an optional meeting link or address.
  • What participants enter: their name, the times they're available, and their time zone.
  • Feedback you send, and your email address if you choose to include it.
  • Anonymous usage statistics: a random ID stored in your browser, plus when you visit, how many pages you view, and roughly how long you stay. We use this only to count visitors and see how the site is used. It isn't linked to your name, and we don't use it for advertising.
  • Basic technical logs (such as IP address and browser type) kept by our hosting provider for security and troubleshooting.
  • We don't ask for accounts, passwords, or payment details.

Who can see it

  • Anyone who has an event's link can see that event, including participants' names and availability, and can add or edit responses. Please don't put sensitive information in events.

Where it's stored

  • Our servers are in Singapore. If you use OurMeetingTime from mainland China, Australia, or elsewhere, your information is transferred to and stored in Singapore. By using the service, you agree to this transfer.

Cookies and your browser

  • We use two small cookies to remember your language and color theme. Your browser also remembers the name you used for each event, so you don't have to type it again, and keeps the random ID used for anonymous usage statistics. If your browser sends "Do Not Track" or Global Privacy Control, we don't collect usage statistics at all.
  • We may show ads from third-party ad networks. They may use their own cookies to show and measure ads, under their own privacy policies. You can turn off personalized ads in your ad provider's settings.

Services we rely on

  • "Add to calendar" buttons open Google or Microsoft only when you click them. Donations are handled by the payment provider you choose; we never see your card details.

How long we keep it

  • Events and responses are kept while they're useful. You can remove your own response at any time with "Remove my response". Events that nobody has opened or changed for 12 months are deleted automatically, and anonymous usage statistics are deleted after 13 months. To delete a whole event or your feedback, contact us.

Your rights

  • You can ask to access, correct, or delete your information. Depending on where you live (for example under Australia's Privacy Act or China's Personal Information Protection Law), you may have other rights too, including the right to complain to a privacy regulator.
  • OurMeetingTime isn't meant for children under 14.
